The Process

Your homologación, step by step.

Our firm coordinates the entire path — you focus on gathering your original school documents.

01
Step 1 of 5
Diploma + Transcript

Order Your School Documents

Request your official diploma and transcript directly from your school or through a vendor like Parchment. You only need one original set — we scan everything throughout processing.

Documents Required
  • Official Diploma
  • Official School Transcript
Where to Order
  • Directly through your school
  • Third-party vendors (e.g., Parchment)
02
Step 2 of 5
In-person required

Notarization

Your registrar or an authorized school official signs a statement confirming the documents are authentic. Most homologación offices no longer accept online notarization — in-person is required.

Many homologación offices no longer accept online notarizations for academic documents. In-person notarization is required.

Most common for universities
Option 1 — School Handles It

The school may notarize the registrar's signature internally or arrange notarization directly through their office.

Most common for high schools
Option 2 — Travel Notary

We coordinate a travel notary to visit the school and witness the registrar's signature. You do not need to be present.

Avoid Rejection

The 4 most common homologación mistakes.

Rejections cost months and money. Our firm catches these before your package leaves Philadelphia.

Mistake #01
Copy certification instead of signature notarization

Notaries certifying a copy of the diploma — Spain requires the notary to witness and notarize the signature of the registrar or authorized school official who signed the document.

Mistake #02
Using regular translators instead of sworn translators

Spain only accepts translations from MAEC-appointed sworn translators. Standard or ATA-certified translations are rejected by homologación offices.

Mistake #03
Notarizing photocopies

Photocopies of diplomas and transcripts cannot be apostilled. Documents must be originals signed by the registrar with the signature notarized in person.

Mistake #04
Processing the apostille in the wrong state

Apostilles must be issued by the Secretary of State where the notary is commissioned — not where the school is located or where you live.

Our firm helps avoid rejections. Every package is reviewed against MAEC and Secretary of State requirements before submission — so your homologación is approved the first time.

Why choose us

Most homologación firms operate from Spain. There are very few U.S.-based firms helping American students prepare their documents domestically — we're bridging that gap.

  • U.S.-based firm serving students across all 50 states
  • Accessible communication on your local time zone
  • Affordable, billed in U.S. dollars — no foreign exchange surprises
  • Direct coordination with U.S. schools, Secretaries of State, and MAEC-sworn translators
  • Document review against MAEC requirements before submission

Important: We highly recommend also consulting legal counsel in Spain for current processing timelines, rules, and regulations specific to your case.

FAQs

Frequently asked questions

What is homologación and do you process it?+

Homologación is the official recognition of a foreign academic degree by Spain's Ministry of Education. We do not process homologación itself — we prepare the U.S.-side documents (notarization, apostille, and MAEC-sworn translation) that your homologación application requires.

Which states can you process apostilles in?+

All 50 U.S. states. We coordinate directly with each Secretary of State (or relevant authority) to obtain the apostille on your diploma, transcript, or related document.

What documents do you typically prepare for Spain?+

High school diplomas, associate's, bachelor's, master's, and doctoral diplomas and transcripts, along with supporting documents such as background checks, birth certificates, and marriage certificates.

Are your translations accepted by Spanish authorities?+

Yes. All translations are produced by translators sworn (Traductor-Intérprete Jurado) by Spain's Ministry of Foreign Affairs (MAEC), which is the standard required for homologación and other official Spanish procedures.

How long does the full process take?+

Timelines depend on the issuing state and how quickly your school provides documents. Most complete packages are ready in 2–4 weeks. Expedited options are available in many states.

Do I need to come to your Philadelphia office?+

No. We work with clients in all 50 states by mail and digital coordination. In-person notary appointments in Philadelphia are available if needed.

What's the most common mistake you see?+

Notaries performing a copy certification instead of notarizing the signature of the registrar or authorized official. Apostille authorities reject these. We review every document before submission to prevent it.
